Anderson Coach & Travel GENERAL CONTRACT TERMS & CONDITIONS - By ordering this charter and/or applying payment, you have agreed to the Terms and Conditions found below.

Deposit & Final Payments: A 20% deposit is due within 10 days of booking the charter. Final payment is due 30 days prior to departure. Should your charter depart within 30 days of the booking date, full payment is required at the time of booking. Payment is accepted in the form of a credit card, certified check, money order, or ACH wire transfer unless other arrangements have been made. Failure to meet payment requirements may cause cancellation of your charter. Tax is applied only as mandated by state and federal government. Deposits and final payment via credit card will be charged a service fee.

Itineraries: Detailed itineraries are necessary and should list all stops with complete addresses and directions. Itineraries must be in writing to our office a minimum of 20 days prior to departure. If your itinerary differs from the original information for this confirmation, the price is subject to change. Itinerary changes made after original itinerary detail is submitted may result in extra charges and are subject to our approval prior to departure. Extended hours of use & mileage will result in additional charges. These changes are required 20 days prior to departure.

Driver Hours of Service: Anderson Coach & Travel is regulated by the USDOT Surface Transportation Board and the USDOT Office of Motor Carriers. These agencies regulate the on duty and off duty hours of service that the motorcoach operator is allowed to perform. Itineraries exceeding USDOT regulations will be subject to additional fees for relief drivers. Drivers are to have 9 hours off prior to 10 hours of driving.

Cancellation: To receive a refund, cancellation notice is required 20 days before departure for a single coach one-day trip, and 60 days before a multi-day or multi-coach trip.

Luggage: Anderson will not be liable for the loss of any personal items or luggage stored in or under the coach. Luggage must weigh less than 50lbs to receive assistance from our driver. The handling of luggage over 50lbs. is the sole responsibility of the chartering party. 

Immigrations: U.S. Citizens visit www.travel.state.gov for the latest immigration regulations. Non-citizens must have necessary immigration documents. Anderson is not responsible for decisions made by customs officials.

Alcohol: Anderson does not provide alcohol, nor does it condone its consumption on board the coach. However, if beverages are permitted on board by the chartering party, a security deposit is required. This fee is refundable in whole or in part upon return of the charter, subject to extra cleaning fees. The chartering party is responsible for compliance with all laws and regulations related to service and consumption of alcohol; for controlling the consumption of alcohol; and for managing the conduct of members of the group to ensure their safety.

Prohibited Items / Smoking: Prohibited items include but are not limited to, weapons (other than government authorized agencies), explosives, and fireworks. Other items not permitted on the coach include but are not limited to smoking, golf shoes, spikes and other items that could potentially damage the interior of the coach.

Equipment: When necessity dictates, Anderson reserves the right to hire equipment or work through brokers and/or contract carriers to fulfill this contract.

Amenities: Amenities such as the DVD/TV unit and public address/radio system and the temperature control are not guaranteed. However, every reasonable effort will be attempted to have these operational.

Outlets: All 34, 40 & 56 passenger coaches are equipped with 110v electrical outlets. Every effort is made to ensure that outlets are working properly when the motorcoach departs our facility. However, due to the nature of vehicle movement and travel conditions, a portion of the outlets may be unavailable at any given time.

Seating Capacity: The maximum adult passengers on-board the coach cannot exceed the seating capacity of the vehicle. Anderson reserves the right to substitute appropriately sized vehicles to satisfy the contract.

Supervision: Adequate supervision and discipline on-board the coach are the responsibility of the chartering party. Passenger interaction cannot interfere with safe driver operation. Passengers under the age of 18 are NOT permitted on board the coach without adult supervision.

Arrival & Departure Time: Anderson endeavors to maintain all schedules. Anderson cannot, however, guarantee the arrival and departure times as submitted. Airport charters will wait one hour beyond scheduled pick up at the airport free of charge. A per hour fee will be assessed for additional time. Anderson will not be liable for delays caused by an act of God, public enemies, authority of law, quarantine, riot, strikes, accidents, mechanical breakdowns, poor road conditions, snow storms, extraordinary and/or unexpected economic circumstances or other conditions beyond the control of the carrier. It will be the carrier’s decision to determine when the vehicle can safely operate when circumstances are difficult. Thus, Anderson shall not be liable or be caused to be held for damages for any reason whatsoever.

Additional Fees: Parking fees, permits, ferry costs and drivers room are the sole responsibility of the chartering party. Deposits and final payments paid via credit card will be charged a service fee.

Anderson Coach & Travel reserves the right to add surcharges when/if economic conditions subject us to significant increases in the cost of doing business.

Transportation Policy: Anderson reserves the right to decline to transport for reasons determined by management.

Anderson Coach & Travel has taken enhanced health and safety measures for you, our other guests, and our employees. You must follow all given instructions while traveling with Anderson Coach & Travel.

An inherent risk of exposure to COVID-19 exists in any public place where people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and even death. According to the Center for Disease Control and Prevention, senior citizens and those with underlying medical conditions are especially vulnerable.

By traveling with Anderson Coach & Travel, you voluntarily assume all risks related to exposure to COVID-19.

Indemnification: Group Leader/ Lessee shall indemnify, defend and hold harmless Vehicle Owner/Operator/Lessor and its officers, directors, agents, and employees, and each of them, from and against any and all actions, causes of action, claims, demands, liabilities, losses, damages, costs or expenses , of whatever kind and nature, including judgments, interest and attorneys fees (matters) which Vehicle Owner/Operator/Lessor and its officers, directors, agents and employees, and each of them, shall or may at any time, or from time to time, subsequent to the date of this Agreement, sustain or incur, or become subject to, involving, with respect to or relating to any breach by Group Leader/Lessee of any provision of this agreement or any other contract with Vehicle Owner/Lessor or the infringement or alleged infringement of any copyright, trademark, or other proprietary rights of others or acts of omissions of Group Leader/Lessee pursuant to this agreement.

Errors or Omissions: The total charter charge, under current operating conditions at the time of consummation of said contract, is based upon the specific service and cost of services rendered as requested by the chartering party. If any errors or omissions are found, call our office immediately.


Anderson Coach & Travel Group Leader and Chaperone Expectations

Anderson Coach & Travel is committed to providing your group with the safest and most comfortable travel experience possible. Group Leaders and Chaperones play key roles in assisting with this. Please make note of the following responsibilities:

Safety - 

  • Passengers will be solely responsible for any luggage in excess of 50 pounds. Our drivers cannot assist with any extraordinarily heavy luggage
  • Children under age 18 are not permitted onboard without an adult group member present
  • To ensure no one is ever left behind, the group leader on each vehicle is responsible for ensuring all passengers have arrived before departure from each location
  • Group Leaders and Chaperones should filter throughout the vehicle to provide proper supervision of all passengers and adherence to basic safety requirements
  • Federal Regulations prohibit your driver from driving more than 10 hours or working a total of more than 15 hours before requiring a minimum of 8 hours off. Avoid additions to the itinerary or unnecessary delays to prevent reaching these maximum limits.
  • Aisles must be kept clear of items to prevent tripping hazards
  • Please ensure all passengers pay close attention to the Safety Video, which will be played at the beginning of your trip, and take note of the emergency exits and safety features of the vehicle
  • Passengers should remain seated for the duration of the trip, unless proceeding to the restroom or retrieving overhead luggage. At destinations remain seated until fully stopped.
  • Seatbelts are provided and their use is highly recommended
  • Flash photography should not be used onboard, as it may temporarily blind your driver
  • To prevent driver distraction, noise should be kept to a minimum

 
Comfort - 


  • Smoking or use of e-cigarettes of any type onboard is prohibited by Federal Regulation
  • Garbage cans are provided at the front and rear of the vehicle and small bags are available at each seat. Please place all trash in them.
  • Please bring all extra trash items to the can in the front of the vehicle at each stop to prevent excessive trash accumulation
  • At the end of each day, please assist the driver by collecting trash left behind and checking for any items left onboard. Extra bags are available from your driver, please ask if needed.
  • Please notify your driver of any spills or if the restroom requires servicing. Cleaning supplies are available onboard to assist.
  • Damage to the vehicle of any kind will not be tolerated and your group will be responsible for repair costs
